Use the Account Register

The account register allows you to view, add, and edit individual transactions associated with some GL accounts that display on the Accounting > Chart of Accounts (COA) screen.

Caution: Because the account register affects your General Ledger balance we recommend that you consult with your Accountant or a Certified CosmoLex Consultant before adding, deleting, or editing any items found there.

Viewing an Account Register

To view an account register:

  1. From the left navigation panel, click Accounting.
  2. From the Accounting menu, click Chart of Accounts.
  3. On the Chart of Account screen, select the account that you want to view and click on the three dots at the end of the row.
  4. From the drop-down, click View.
    The account’s details screen opens, displaying all transactions in the register for that account.

    Note: If the GL account does not display the View option you may not access the account register from the COA screen. You will have to use the GL report or other available accounting reports to access the details you seek.

Add a Register Entry

You have the ability to make register entries to the GL account.

To make a register entry:

  1. Click on +Register Entry.
  2. In Add Register Entry screen enter a Ref#, select an Account, and then enter the debit or credit amount.
Caution: Most GL accounts aren’t available when making register entries. Also, you can’t make a register entry to a P&L or control account. If you want to make an adjustment to a GL account balance, you should consider making a Journal Entry instead.

Edit an Account Register Transaction

To edit a transaction from the Register view:

  1. Select the transaction and click on the three dots at the end of the row, and from the drop-down, click Edit.
    The Edit Register Entry screen opens.
  2. Make your edits.
  3. In the upper right corner, click Save.
    The system updates the transaction and the register.
Note: If a transaction has been Posted or Reconciled, you may only edit the memo and account lines.

Exporting Data from an Account Register

From the top navigation panel click Export. The export window opens, displaying your export options.
