Add a Hard Cost

Hard cost expenses pertain to out-of-pocket transactions eligible for subsequent reimbursement. In a single transaction, you can allocate these expenses to multiple matters and firm costs.

Examples of such expenses include:

  • Filing fees
  • Postage
  • Expert witness fees
  • Court costs

Tracking these reimbursable costs separately ensures accurate revenue accounting, offsetting your Profit and Loss expenses.

Important: If your firm doesn’t utilize in-application business accounting, it’s recommended to input expenses as soft costs. Later on, if needed, you can link recorded soft costs to associated transactions to convert them into hard costs.

Various ways to add a Hard Cost

You can include a hard cost using one of the following methods:

  • Press the “H” shortcut key on your keyboard
  • Utilize the Global Add Shortcut.
  • Within the specific Matter.
  • Global Billing

Keyboard Shortcut

While on any screen within the application, simply press the “H” shortcut key on your keyboard, and the Expense Hard Cost screen will open automatically.

Global Add Shortcut

  1. Navigate to the top right side of the screen and click on the Quick Action + icon.
  2. From the drop-down that appears, select Expense (Hard Cost).
  3. The Expense – Hard Cost screen will open.

Matters Details

Note: This is the sole location where the system generates a matter expense card in the Split automatically upon entering a memo. When accessing the Expense – Hard Cost from any other part of the system, you’ll need to manually add expenses to the Split.

  1. Navigate to Matters from the left navigation panel.
  2. You can choose to:
    1. Select a matter and click on the three dots at the end of the row and from the drop-down, select Add Expense – Hard Cost. OR
    2. Double-click on the selected matter, and then scroll down to view the matter details.
  3. Within Matter Details, click on the Billing tab, by default, you’ll see the Time/Expense page.
  4. Select Add Expense at the top right, and select Hard Cost. The Add Hard Cost screen will open.

From Bank Transaction

You have the flexibility to either post a transaction directly to your operating account and link it to a matter afterward or, if your firm’s workflow leans towards the accounting section, your bookkeeper can manage hard costs by entering transactions through the operating/general account and assigning them to specific matters. The outcome is the same, and the choice of entry location depends on your firm’s preference.

To add a hard cost from a bank account:

  1. Generate a withdrawal transaction in your operating bank.
    • Note: If your firm is in Canada or a US state that applies tax to expenses, you can utilize the automated tax calculation feature.
  2. While completing the transaction, check the “Post as matter expense” box.

From Global Billing

1. Navigate to Billing on the left-hand navigation panel.
2. By default, you’ll find Time/Expense.
3. Click on +Add Expense and choose Hard cost.

Hard Cost Fields

Bank

 

  • Select the appropriate operating bank from the drop-down menu. Note that the Trust Bank cannot be used for Hard Cost disbursement.
  • If you are making a payment via credit card, choose the relevant credit card bank.
Date
  • Populates with today’s date.
  • Click the drop-down to specify a different date, if needed.
Amount
  • Enter the amount.
Pay To
  • Enter the payee’s name.
Remember Payee
  • To add them to your Payees list, if desired, check the Remember Payee box.
Type
  • Will default to Withdrawal.
Method
  • Use the drop-down to click the payment method.
Check#* (*Will only display if you select Check as the payment method)
Take the appropriate action:

  • Check to be Printed
    1. Leave the To be Printed box checked.
  • Check Was Printed
    1. Uncheck the To be Printed box.
      The Check# field becomes editable.7. If you enter a Memo, when you leave the memo field, the system automatically creates a matter expense card in the Split for the entire transaction amount, using the memo as the description
    2. Enter the check number.
Memo
  • Enter a memo or click the drop-down to select one.
  • If you enter a Memo, when you leave the memo field, the system automatically creates a matter expense card in the Split for the entire transaction amount, using the memo as the description.
Memo2 Provide additional internal details for reference. These details will not appear on client documents.

Accounts Section

In this section, you can input the details for this hard cost and choose to split the cost if necessary. For instance, you might be making a payment to a vendor for an amount that covers expenses across various matters and/or the entire firm.

Note: If you add the hard cost from within the Matter, completing the transaction fields will automatically generate the line item for that matter. You have the option to edit the entry if required.

To add an item:

  1. From the tabs atop the split section, select Add.
  2. From the drop-down, take the appropriate action:
    • Add Account
    • Choose Existing Matter Expense to link existing soft costs to the transaction.

Use Existing Matter Expense

  • Clicking on Existing Matter Expense will list all your matter expenses.
  • Select one or more matter expenses for the hard cost assignment. Note that you can use the filter element on the left to find specific matter expenses.
  • Check the box beside the matter expense(s) that you would like to associate with this transaction.
  • Click Use Expense in the lower right corner.

Save Options

Save and New Click Save and New to save the expense and proceed to enter another hard cost immediately. This is particularly useful for bulk entry.
Save Click Save to save the expense.
