If you ever receive an invoice payment HIGHER than the invoice amount, this will automatically become an Operating Retainer balance, essentially a credit on hand for future invoices

However, When a matter is completed, and there is still client money left over, you can credit the client with either of the following two procedures:


Crediting from Operating
  • Start at the Matter page
  • Click the requested matter, and click "Details" or...
  • Double-click the requested matter.


  • In matter details, click the banking tab
  • Under transactions section, click Action > Credit Memo

 
  • On the credit memo screen, make sure the correct bank is selected.  If the correct bank is not selected, the available credit will not appear.
  • Make sure the amount matches with the available credit
  • If you are not refunding the entire amount back to the client, and you want to leave some of the funds in the operating retainer, you can type in the amount.
  • Click "Save"
  • Once saved, a transaction of the credit will appear in the respective matter's Transactions tab for your records


Crediting from Trust
 
  • Start at the matter page
  • Click the requested Trust matter
  • Click "Trust Payment"


  • Enter the amount (amount should not be higher than the trust retainer amount)
  • Choose Type and Method for payment
  • Pay to: enter client's name
  • Enter a Memo
  • The account field will default as "Client Trust Funds". To change your default for this account field, go to Setup > Firm Settings > Accounting Settings. 
  • Click "Save"
  • Once saved, a transaction of the credit will appear in the respective matter's Transactions tab for your records


From Matter Details Page:


  • On Matter Landing Page > Select Client > Select Details



  • On the matter details page > Click Banking Tab > Under Transactions section > Click Trust Transactions > Choose "Trust Payment"
